<span style="color: #ff5630">**Note: This applies to only Roled users, the system is hard coded to prevent non roled users (end users) from accessing unpublished records.  The functionality described below is to allow a client to control whether a roled user can or cannot access published / unpublished material.**</span>

Based on the role of the users in the organization, they may or may not need access to the unpublished records. As unpublished records are not always allowed for the end users, the access to these records are often needed to be controlled.

There is a top-level settings for this in the “**Access Permission**” profiles. It’s named “**Access to unpublished records**” which has two options “**Allow**” & “**Deny**”. If it’s set to “**Deny**” then the users **won’t have access** to the unpublished records of any types.

If it’s set to “Allow” then the users will generally have access to all of the unpublished records of all record types.

The permissions work on the least given privilege rules. So while allowed, you can set a secondary level of access permission to unpublished records. For example if you want the users to have access to unpublished records of some of the record types, not all of the record types. 

In that case, you can change the access permission for those record types. Go to the “**Content and Record Types**” tab. Under that tab go to the intended record type for which you want to revoke access. Then change the option for the “**Publication Permission**” to “**Allow Published Only**”.  Then click on “**Update**” and then save the whole settings in the top left of the page.

As the system count the least given privilege, the users with this access permission will have access to all unpublished records, except the ones under this record type. For this record type they can only access the published records.
