When setting up the routing lists for a serial, you can either use a predefined routing list or set one up manually. [Predefined routing lists](https://soutron.atlassian.net/wiki/spaces/HG/pages/3278085) can be assigned to any number of serials, thus saving the time and effort required to manually set up similar lists for different serials.

For each subscription copy, you can assign either a physical routing list or an email notification list, or both:

- a physical routing list is attached to the issue once it has been checked in, and circulated to the users on the list
- an email list notifies the users when the journal issue has arrived

 

> ⚠️ Note that you must set up a [subscription](https://soutron.atlassian.net/wiki/spaces/HG/pages/3279496) for the serial before you can set up routing lists. However, you do not need to have [assigned locations](https://soutron.atlassian.net/wiki/spaces/HG/pages/3277879).

Having created or searched for the catalogue record for the serial, click on **Serial Management Control Centre** in the Actions menu from either the edit screen or full display screen.

The following screen opens, displaying the title of the journal as part of the header:

To set up routing lists:

1. Click **Create new routing list** in either the Actions menu or the main screen.
2. The following screen displays the distribution information for the serial:> Macro (inline-external-image)
3. Click **Add** in the Routing List column, to display the following:> Macro (inline-external-image)
4. By default the screen shows the options for creating a physical routing list; the other tab defines the options for email notification.

You now have the option of using a [predefined routing list](#Using_a_predefined_routing_list) or [setting one up manually](#Defining_the_list_manually) for this serial.

# Defining the list manually

To create a custom list:

1. Select the following options as required (the last three do not appear for email notification lists):
  1. **Queue length** - to limit the number of users on the list
  2. **Allow users to add themselves to the list** - this has not yet been implemented: however, tick this option if this would be required in future
  3. **Print Routing Slip** - tick the box to print the routing slip
  4. **Print address on a label if only one person in the list** - this is a future option, so can be ignored for now
  5. **The copy must be returned to the Library** - tick if the Library is to appear at the end of the list
2. Then add users to the list by clicking **Add**
3. The user search screen opens:
  1. Search for the user by UserID, first name or surname - it is recommended that you search for and add users in the order in which you want them to appear on the list
  2. From the list of results, tick the box next to the required user to select them
  3. Click the **Select** button
  4. Repeat steps a-c until you have added all the users to the list
  5. Click **Back** to finish
4. You are then returned to the previous screen, with the selected names displayed:> Macro (inline-external-image)
5. The following actions are available:
  1. to remove a user from the list, tick the name then click **Remove**
  2. to change the order of names in the list, tick the box next to two names then click **Swap**
  3. to suspend a user from the list, tick the name then click **Suspend** - this is useful if users are away for a while
  4. to reinstate a suspended user, tick the name then click **Resume**
6. When you have finished defining the list, click **Save** at the top of the screen.

# Using a predefined routing list

Using a predefined routing list applies the list to the serial as it stands at that moment in time, ie if the routing list template is changed, this is not reflected in the titles for which that list has been used.

To use a predefined routing list:

1. Click **Select Routing List** near the top of the screen.
2. The following screen opens, displaying the list of predefined routing lists:> Macro (inline-external-image)
3. Select the required list by ticking the box next to it. Note that you can also edit the list from here, by clicking **Edit**.
4. Then click the **Select** button at the top of the screen.
5. You are then returned to the previous screen, with the options and list of names from the selected list displayed:> Macro (inline-external-image)
6. The options for the routing list are described in Steps 1 and 5 for [Defining the list manually](#Defining_the_list_manually).
7. When you have finished defining the list, click **Save** at the top of the screen.

 

> ⚠️ Note that you cannot remove a predefined list once you have selected it - you would need to remove all the users and add other users in manually.

 

# Finishing the process

When you have saved the routing list configuration, you are returned to the [Distribution tab](https://soutron.atlassian.net/wiki/spaces/HG/pages/3277879). In the Routing List column, this now displays a View link, preceded by P for a physical routing list, or E for an email list.

> ⚠️ Note that the actions in the Actions menu on this screen relate to the subscription record, NOT the routing list.
