It is necessary to define at least one role in the system to allow a user (in addition to the Soutron Administrator) to be created. The definition of roles within an office will allow control to be exercised over a user and what functions that user can perform for each thesaurus that is set up within the system. Any number of roles can be created by the system administrator for each thesaurus or for several thesauri.

**To define Thesaurus Roles, select** <span style="color: #ff0000">**Thesaurus > Thesaurus Roles**</span>.

To create a new role:

1. Select "Create" from the **Actions** menu.
2. Give the new role a description.
3. Choose whether or not the role will be an administrator.
4. Choose whether the role will have access to all thesauri.
5. Choose whether it will be the default role in the system.
6. Choose whether the role will be Languages Maintainable. If you select "Yes", then you will be able to manage the terms in any available language. If you select "No", then you and the other users will only be able to enter the terms in English.
7. Decide which operations/permissions the role will have (See the table below for details as to what each section of options contains).
8. Click "Save" from the **Actions** menu once you are satisfied with the role.

The operations/permissions are broken up into three different categories:

| --- | --- |
| **Application Level Functions** | This section contains controls that will allow the users of the role to edit/delete/create new and existing thesauri. |
| **Default Thesaurus Level Functions** | This section controls whether a user of the role can add/amend terms in a thesaurus. |
| **Thesauri** | This section controls which thesauri can be accessed by users. There is also an **Edit** link next to each thesaurus. By clicking on this link, you will be given greater control over access privileges to the selected thesaurus for the role you are creating. |

 

# Editing/Deleting a Role

To Edit/Delete a role:

1. Click **Edit** for the role you wish to Edit/Delete.
2. To Delete the role, click **Delete** located in the **Actions** menu.
3. Otherwise make any changes to the role as desired.
4. Click **Save** from the **Actions** menu.
