It is helpful and time-saving to have all details of the Subscription being recorded to hand before commencing data entry. This includes perhaps a physical copy of the journal to be recorded, details of its enumeration (volume and issue numbering sequence) and publishing cycle. When completed the Journal or Subscription details will be displayed as indicated in the screen shot displayed. The greater the accuracy of the Prediction record for the Subscription the less effort is required at the time of Check In. If the cycle of publication changes in the future, it can be changed using this function so that the Receipt and Check In is continually made simple. The way in which the title and volume and issue number is formatted helps the user to correctly match the record with the item being received. Therefore the enumeration and the frequency and pattern of publication are recorded and a wizard guides the user through the recording of this data.  The publication presented in the above display has been recorded with 1o issues published per year and shows the format of the title and its volume and issue number. if the cycle of publication changes a new Prediction record can be created  Create New Prediction  so that future issues can be received according to a new publishing pattern. For a new Subscription that has not been recorded before, the Predictions Stage is presented in three parts. Remember to SAVE the prediction once  created.  First, describing the enumeration of the title. That is what is the way the Publisher describes each publication by Volume or Volume and Issue or simply a continuous number. Second, the formatting and way the numbering of the journal subscription appears Third, the frequency of the publication cycle and the expected dates    Earliest Check-in Date is usually the date that the Subscription is expected to start but if back issues are to be recorded, this date might be set some years previously to allow records to be recorded for previous years as well.   What is the Volume and Issue numbering used to record the Journal issues ?   A wizard is presented with a logical sequence to help identify the correct way in which the Volume number is generated by the Publisher. If the Volume Number increments by one each year of publication then the form can be selected to have the Volume Number increment continuously and the setting for Every 1 Year is appropriate. However if it is changed every 2 years the change can be accurately recorded. In order to have the system generate the correct Volume Number, identify to the system the correct volume number at a specific date i.e. the date the Subscription is commencing.  To do this it is helpful to have identified past issues and the number used for the Volume. If there is no Volume Number, simply turn the toggle to off, and this part of the enumeration number generation is no longer displayed.  The same approach is taken to record the Issue Number and if there is also a Continuous Issue Number this can be recorded as well.  Once the enumeration has been recorded the next step is to  Format the Number  and this can take many forms. To help with this so that it is presented as it appears on the published journal, the system offers a variety of formats using a template that can be amended and changed to meet the variations in display. If the required format is not displayed, either a new format can be created (using +NEW) or a close match can be selected and edited in form to change the text or layout of the elements. NB there are macros used to select the appropriate elements and style these correctly (upper or lower case, style of numbering, abbreviations etc) so if the text Vol No is not ideal this can be edited in situ to display Volume Number, for example.   The way the journal displays the numbering and if issues merge can be set up and selected from the drop down lists presented in the form.  [Title] Vol No. [VOL] Issue No. [NUM_CONT]: [0D] [Month] [YYYY] [Title] Volume  Number [VOL] Issue No. [NUM_CONT]: [0D] [Month] [YYYY] Predictions Cycle is the final part to record. This is to manually record how often and to what cycle is the journal to be published, ideally using past experience of how it is published so that the expected dates are accurately forecast. A range of possible options are presented but new ones can also be created so if a publishing cycle of for example, 7 issues a year is not present in the drop down list presented, a cycle can be created that allows this to be recorded.
