Creating a new thesaurus is simple and straightforward within the Soutron Administration Module.  It is a simple process.  Note the fields available in the image below.  Each field has a brief explanation within this document after the displayed image.  Also note that, as always, the thesaurus will be available to assign to a field after it is created.  The thesaurus must be assigned to a unique field before it is available to use within the cataloging module.  Fields are created within the Soutron Administration Module.  See additional documentation within this Help Guide for additional information for creating and configuring fields.

**Name:  **Type in the name to be assigned for the Thesaurus field (in this case, the Thesaurus name is “Photographer”.

**Select the language:  **This selection should match the language of the thesaurus.  Your Soutron instance may or may not have different languages set up to utilize within the Portal.  Consult with your Help Desk if you have questions or difficulties with the language selections.

**Description:  **This is a textual description of the Thesaurus being created.  It may be formatted using typical MS Word formats (fonts, font size, color, bold, italics, links, etc.)

**Available views:  **These are the views which will be available within in the Soutron Thesaurus Search function in the Administration Module.  There are two choices:  **A – Z  **and **Hierarchy**.  Select by clicking once in the blank line (all setups begin with an empty field).  After clicking once, a dropdown will display offering the A-Z or Hierarchy setup.  The selection/s must be done one at a time (i.e. click once and select the option from the dropdown; click again in the display line and the other option will become visible to add).  It is not possible at this time to select both in one action.  If you wish to use both functionalities (A-Z and Hierarchy), you must add both.  Note that the <span style="color: #ff0000">red x </span>appearing in the button in the Available Views line indicates the ability to delete the option individually.  Available options will ultimately always display with A-Z first (to the left) and Hierarchy second (next to the first one selected) if both are chosen.  You may choose the default view per the option described next.  You MUST select at least one option to provide the option to manage this Thesaurus within the Thesaurus Search (and Management) functionality in the Administration Module.

**Default view: **This option will offer you the opportunity to select the “default” view in the Thesaurus Module (allowing for the ability to view what you wish once you are within the Thesaurus working environment).

**Default Search Results View: **Choose one of the views (A-Z or Hierarchy) to be the default search results view.  ** **

**Set Default Hierarchy Level:  **This allows you to set the number of subfolder levels to display by default. Setting number “zero” in this option displays ONLY the top level terms by default.  Setting a number higher than “zero” displays the number of child folder levels for a particular entry (depending, of course, on the existence of these levels). ** NOTE**:  The number of levels displays in the middle of the line (not to the left).  Be aware of this display feature.  Note the blue explanatory information icon (blue circle with letter “I” in it). 

**Is active:  **This toggle switches the thesaurus from “active” to “inactive”  As always, button to the left means “off/inactive”, button to the right means “on/active”.  These toggle functions are applicable throughout the Soutron Administration Module.

**Auto Delete Terms:  **This option is not available for use at this time.  It is reserved for future development.  Ignore this option and leave it “inactive”.

**Allow Scope Note:  **Toggle this to the “on” position (appears by default as “active’on”) to permit the addition of Scope Notes to individual thesaurus terms.  If this is toggled to the “off/inactive” position, you will not be able to enter Scope Notes for terms within this particular Thesaurus.

**Allow Where Used:  **This (when toggled to the “on” position), allows the system to display the titles of records in which a specific term appears and that brief title display is shown as a blue clickable link.  The activation of this option permits the viewing of a specific record in the “Where Used” section..  **NOTE: ** This facilitates the display of the “Where Used” section when an Administrative User has searched for and located a specific field term/value in this specific Thesaurus.  It applies only to utilizing the Soutron Administration Module Thesaurus Management section to search for a specific term.  The fact that this “Allow Where Used” is an active button option for this specific thesaurus permits the Administrative user to view the records which contain the specific Thesaurus term searched and to go directly to the record in the Edit mode.  Consult the section in this Help Guide for *How to View Thesauri and Thesaurus Entries *for additional information.

**Include Folder Search:**

**Enable Tagged Search: **Used to allow individual terms to be selected to display in the [THESAURUS_QUICK_SEARCH](https://soutron.atlassian.net/wiki/spaces/HG/pages/114130945) macro.


**Be certain to click on the “Save” button to save your work.  If you click the “Cancel” button during the creation process, any work you have done to set up this Thesaurus will be lost and you will need to start the creation process again for the Thesaurus.  After the data pertinent to Thesaurus creation is saved, it will be available to be assigned to a specific field you create to utilize this Thesaurus.  After creating the field, it may be assigned to any record type template in which it will be a valid data entry option.  Consult the sections of this Help Guide which explain field maintenance and record type template maintenance for more information on field maintenance and record type template maintenance.**
